Trust accounting is a state matter

This is the part of law firm accounting that does not travel. The bookkeeping looks much the same in Ohio as it does in Florida; the trust rules do not. Getting them right is a question of reading your state's, not applying a template.

Your state bar's rulebook, not a generic one

Every state writes its own trust accounting requirements, and they differ on the details that matter: what has to be reconciled, how often, and what you must be able to produce on request. We work to the rules your licence sits under.

Reconciliation on your state's schedule

Some states name a frequency for three-way reconciliation, some leave it to the standard of care and expect monthly anyway. We reconcile monthly everywhere and document it the way your bar asks to see it.

IOLTA set up so remittance is routine

Pooled client funds earn interest that belongs to your state's bar foundation, not to you or your client. We keep the account and the reporting arranged so that stays automatic instead of becoming a question.

Records that survive an audit

Retention runs five, six or seven years past the close of a matter depending on the state. Ledgers, reconciliations and supporting documents stay filed and retrievable, so a bar inquiry is a document request rather than a search.

What it actually looks like

Distance is a solved problem, but only if the setup is deliberate. Ours is.

  1. Read-only access. We connect to your bank, credit card and practice management software with read-only credentials. We can see everything and move nothing.
  2. A secure channel for documents. Statements, invoices and closing files come across encrypted. Nothing sensitive travels by email attachment.
  3. A close on a fixed calendar. Your books close on the same date every month and your statements land on the same date after that, whichever state you are in.
  4. Answers the same business day. Questions get a reply the same business day. We work Eastern time and have clients three time zones away; it has never been the thing that slowed a firm down.
